Who we are
Hologram Hire is an independent enquiry-referral service - not a hire company. Hologram Hire is a trading name used by Nightcub Ltd, a company registered in England and Wales with company number 11582122 and registered office at Forest Stone, New Forest Fencing, Mill Lane, Nursling, Southampton, England, SO16 0YE.
Nightcub Ltd is the data controller for personal data collected on hologramhire.com.

What we collect
When you use our enquiry form, we collect:
- your name, email address and, if you give it, phone number and company name
- details of your enquiry, including date, venue postcode, indoor or outdoor use, size, content status, budget band, technology needed and any notes
We may also collect basic technical data, such as your IP address and browser type, through our website host. We do not know of cookies on this site beyond the host's technical logs.
How we use it
We use your details to:
- pass your enquiry to one or more third-party hire suppliers so they can contact you and quote
- reply to you if you contact us
- keep a record of enquiries we have referred, including for any referral fee arrangements with suppliers
We do not sell your data. We do not use your details for marketing unless you have separately agreed to it.
Who we share it with
Hire suppliers. We share your enquiry and contact details with a suitable third-party hire supplier (or, once we name partners on the form, with the partner(s) named there before you submit). Each supplier uses your details to contact you and quote. If you go ahead, the supplier becomes the data controller for the data it holds about you and its own privacy notice applies.
Service providers. Our form sends enquiries by email to grokbots@nightcub.com. Our website is hosted by ZipWP. These providers process data on our behalf.
We may also share data if the law requires it.
Our lawful basis
- Consent: we share your enquiry with hire suppliers only when you tick the share box on the form. You can withdraw consent at any time, though this will not undo sharing that has already happened.
- Legitimate interests: we keep records of enquiries and referrals to run our service and manage supplier arrangements.
How long we keep it
We keep enquiry records for 12 months from the date of the enquiry, then delete them, unless we need to keep them longer for a legal or accounting reason.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal data we hold about you
- ask us to correct data that is wrong
- ask us to delete your data
- ask us to restrict or object to how we use your data
- withdraw your consent at any time
- ask for your data in a portable format, where this applies
To use any of these rights, email us at the address below. We will reply within one month.
If we have passed your enquiry to a supplier, we will tell them about your request where it applies to data they hold. You can also contact the supplier directly.
Complaints
If you are unhappy with how we handle your data, please contact us first. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
